This is a Privacy Notice for any third party (i.e. not a member of staff) providing information for use by the University of Cambridge as part of its submission to REF2021. This applies to all information, including that relating to Impact Case Studies, which may be personal in nature.  This Notice is designed to provide you with clarity on how such information will be used.

The information that you provide will be used to support the development and submission of the University’s return to REF2021. This may include the provision of information to external parties for the purposes of peer review in advance of submission, statements and data which may identify you. If any of these external parties are based outside the EU, any transfers of personal information to them will be carried out with appropriate safeguards to ensure the safety and security of your information.

Once submitted to REF2021, your personal data provided will be subject to the Privacy Notice and associated GDPR policies issued by UKRI; we have reproduced the full text of this at https://www.research-strategy.admin.cam.ac.uk/ref2021-privacy/ref-data-collection-statement-ukri.   In summary, please note that the information may be shared with organisations that need it to inform the selective distribution of public funds for research and to carry out their statutory functions connected with funding higher education.  The information will be used to analyse and monitor the REF2021. This may result in information being released to other users including academic researchers or consultants (commissioned by the funding bodies), to carry out research or analysis. Except in the certain cases (e.g. in cases of commercial sensitivity or security) where we mark an Impact Case Study as 'not for publication' or provide redacted information to Research England, parts of submissions that contain factual data and textual information about research activity will also be published by UKRI on public webpages. Published information is likely to include textual information in which you may be referenced. Your name and job title may be included in this textual information. Other personal details will normally be removed.

The information you provide to us will be held by the University of Cambridge in perpetuity for the purposes of the REF2021 exercise and any future reporting and analysis of our research activity.  In addition to the above, your personal data will be handled in accordance with the University’s general data protection provisions at: https://www.information-compliance.admin.cam.ac.uk/data-protection/general-data
